How long a customer keeps their tier and what happens when the period ends.
Where this applies: VIP program reset settings control when a customer keeps or loses a tier based on the expiry method you choose.
The three reset options
Rolling yearTier stays active for exactly 12 months from the date it was earned. Example: Tier earned on Mar 3, 2025 → valid until Mar 3, 2026. Good for: anniversary-style programs | Until following calendar yearTier stays active for the rest of the year it was earned plus the entire next year. Example: Tier earned in Nov 2025 → valid until Dec 31, 2026. Good for: calendar-based programs | No expiry (Lifetime)Tier never expires once earned. Exception: if returns or refunds reduce spend or orders below the tier threshold, the customer may be downgraded. Good for: lifetime recognition tiers |
What happens when the period ends
At the end of any expiry period, all customers who did not re-qualify are moved to the base tier or to the eligible or previous tier, depending on your downgrade setting. No notifications are sent during this bulk reset.
Important: The reset method can be changed anytime while the program is active. If you need to make multiple changes at once, we recommend deactivating the program first. This prevents overlapping recalculations and ensures all changes are applied cleanly in a single re-evaluation once you reactivate.
Let’s understand how all reset options work – examples
Example 1 – Until following calendar year
Silver tier with calendar‑year expiry
Your Silver tier requires 1,000 points. A customer earns Silver in April 2025, and your reset setting is Until following calendar year.
April 2025
Customer enters Silver by earning 1,000 points.
Full Silver benefits remain active for the rest of 2025.
January 2026
Points counter resets to 0 for the new calendar year.
The customer stays in Silver and now has from Jan 1, 2026 to Dec 31, 2026 to earn another 1,000 points.
January 2027
Calendar‑year re‑evaluation happens.
If the customer did not re‑earn 1,000 points in 2026, they are downgraded based on your Tier downgrade setting. If they did re‑earn 1,000 points, Silver continues into the next cycle.
Example 2 – Rolling year
Gold tier with a 12‑month validity window
Your Gold tier requires 3,000 points. A customer earns Gold on September 5, 2025, and your reset setting is Rolling year.
September 5, 2025
Customer enters Gold by earning 3,000 points.
Gold benefits become active and stay valid for 12 months from this date.
Up to September 5, 2026
The 12‑month Gold period is in effect.
Before this date, the customer must meet your Gold requirement again (for example, earning another 3,000 points) if they should continue in Gold for the next cycle.
After September 5, 2026
The 12‑month window ends and re‑evaluation happens.
If the customer has re‑qualified based on your rules, Gold continues into the next 12‑month period. If not, they are downgraded on this date according to your Tier downgrade setting.
Example 3 – No expiry (Lifetime)
Platinum tier with lifetime status
Your Platinum tier requires 5,000 lifetime points. A customer earns Platinum in July 2025, and your reset setting is No expiry (Lifetime).
July 2025
Customer enters Platinum by reaching 5,000 lifetime points.
Platinum benefits are active immediately and have no scheduled expiry date.
2026 and beyond
Calendar resets (like January 1) do not affect Platinum status.
The customer remains Platinum in 2026, 2027, and future years without needing to re‑qualify each year.
When can Platinum be lost?
Only if your rules allow downgrades after refunds or returns.
If returns or refunds reduce the customer’s spend or orders below your Platinum threshold, they may be downgraded according to your Tier downgrade setting. Otherwise, Platinum is a lifetime status.
